Supervisory responsibilities when an employee separates

Voluntary Separation

Resignation

The employee initiates separation from employment with the University.

For employees in career service titles, the accepted standard is at least 14 days written notification to the immediate supervisor, prior to the projected end date of employment.

The supervisor should:

  • Accept, in writing, the employee’s resignation;

  • Forward the notice to Humanresources@wpunj.edu; and

  • Initiate the Human Resources Action in Workday for approval.

 

For employees in unclassified titles, it is expected that they shall continue to serve until the completion of the academic year or for the term of their appointment. Resignations due to health or other circumstances beyond the employee’s control are exceptions to this expectation. 

Retirement – The employee elects to file for retirement and completes the requisite paperwork. The Benefits staff provides notification to the supervisor and other interested parties of the employee’s intent to retire.   

In instances of resignation or retirement of unclassified employees, the supervisor should:

  • Initiate the Human Resources Action through Workday for approval after receipt of confirmation email from the Benefits team member.

Involuntary Separation

Typical involuntary separations reasons are:

  • Discharge - termination for cause through the disciplinary process.

  • Non-Reappointment - termination at the end of the employee’s current contract.

  • Retrenchment – layoff in accordance with Civil Service regulations or AFT contractual requirements.  

The Human Resources Action should be completed in Workday as soon as possible to ensure that there is sufficient time for the employee to initiate and complete the Separation Clearance Process. The Separation Clearance Process is automated and should be completed within two weeks of the employee’s last day of work or last day in the office, if time off is scheduled. The process requires input from both the employee and immediate supervisor to be fully executed.
