Room Changes and Vacancies

In order to provide the greatest amount of opportunity for current and future assignment requests, to best utilize our limited space and resources, and to support the developmental goals of residential living, the Department of Residence Life has developed the following processes and procedures to meet these aims:

Room Change and Reassignment

Students who are interested in changing their assignment may submit a Room Change Request through the ResCenter Housing Portal.  Residence Life assignments staff review requests and will make an offer for reassignment which best meet the requests of the student and the department’s assignment goals.  If accepted, a series of steps to complete the move-over to the new assignment will be scheduled with the student changing their assignment.

All Room Change offers are made with the following considerations:

  • Submitted building requests of the student(s) seeking reassignment
  • Confirmed roommate/suitemate requests of the student(s) seeking reassignment
  • Assignable spaces which can best maximize the utilization of the building’s spaces

Additionally, please note the following:

  • All offers are made based on inventory and availability at the time of review. Previous offers which are not responded to in a reasonable timeline may be expired or cancelled and do not reflect a potential reassignment opportunity.
  • It is reasonable for students who are requesting a Room Change without a confirmed roommate or suitemate to expect that any offer made will be to a partially occupied space with a roommate and/or suitemate(s).
  • Room Change offers to a fully vacant bedroom or suite/apartment will not be made unless there are no other vacancies available.
  • Room Change Requests which are determined to be attempts to circumvent the processes and procedures of the Department of Residence Life may be denied or cancelled with notification to the student indicating the reason for denial or cancellation.

Students who are interested and eligible to request an Elective Single assignment may update their preferences to reflect their interest and participate in any open selection or waitlist process currently available.

Vacancy and Incoming Assignments

Students assigned in a double occupancy space with a vacancy will be periodically contacted providing notification acknowledging this.

Students with a vacancy are expected to abide by the following expectations regarding utilization of their assigned space:

  • No more than 50% of the room should be occupied by you and your belongings. This includes any postings on walls or personal furniture which may be arranged in the space.
  • A bed, desk, and wardrobe must be empty and available for a student to move into.
    • If you are using or have any personal items on, in, or immediately surrounding the unoccupied furniture, these items must be relocated.
    • If the furniture is arranged in a way which does not present in a functional or welcoming way, as determined by Residence Life staff, then the furniture must be rearranged to address this.

The following expectation(s) apply to all students assigned to the suite:

  • An appropriate amount of counter and/or cabinet space should be available for use in bathroom and/or common areas.

Students who are suspected of not meeting these utilization expectations will be notified of this and given a period of time to address this.  Failure to comply with this can result in documentation with the Office of Student Conduct and can result in an administrative reassignment to another available space.

Residence Life strongly encourages any student with a vacancy in their assigned space to:

  • Review your roommate/suitemate preferences in ResCenter and verify they accurately reflect who you would like to be assigned with and are “Confirmed”. Should a student you have listed as a Confirmed roommate/suitemate submit a Room Change Request, it is highly likely that they would be given an offer to your vacancy
  • Consider submitting a Room Change Request to be reassigned to a partially occupied space with other students that you may wish to live with.
  • Discuss submitting joint Room Change requests with other students that you may wish to live with in another assignment that can best fit the entire group.

When a new assignment is made, Residence Life will do our best to provide 24 hours’ notice when possible to students assigned to the suite.  Upon receiving and reviewing this notice, Residence Life strongly encourages any student receiving a new assignment in their suite to:

  • Review living and shared space usage with any current residents to see if space needs to be made for the incoming student(s). If you have not done so recently, we also recommend that shared spaces are cleaned before their arrival.
  • Identifying time to connect as a full suite to review any shared expectations around common space usage, cleaning, or other suite-specific expectations.
    • If you need any assistance with this conversation, please connect with your Resident Assistant to discuss this beforehand.

Intentionally creating an unwelcoming or hostile environment for an assigned roommate will result in documentation with the Office of Student Conduct for violation of non-compliance with administrative request.  Eligible sanctions for students found responsible for such a violation can include, but are not limited to, administrative reassignment and probation.
