Position Classification and Reclassification Procedure

The Division of Human Resources will determine the appropriate classification, title, and salary range of all positions through a review of the functions, duties, and responsibilities of the position in accordance with the following process:

Classifications (For new or vacant positions)

Hiring manager completes a Position Description Questionnaire for the proposed position (LINK TO QUESTIONNAIRE) -, and provides an updated organizational chart for the department, supporting justification for the position, and funding source.

Hiring manager submits the above as a Word document to Human Resources via email to HUMANRESOURCES@wpunj.edu with the subject line: “Classification/Reclassification Request”

Human Resources will acknowledge receipt, and provide a date for completion, if the submission is incomplete more information will be requested at this time.

Human Resources will evaluate the Position Description Questionnaire and complete a draft Position Description. The draft Position Description and supporting documentation if utilized to determine the proper classification, title and salary range for the position will be sent to the requesting manager for review.

Human Resources will provide a finalized Position Description to the hiring manager, including instructions regarding next steps, if applicable.

Should there be disagreement with Human Resources’ determination, the hiring manager may appeal in writing to the Vice President for Human Resources whose decision shall be final.

Reclassifications Initiated by Manager (For current positions where there is an incumbent)

Hiring manager completes a Position Description Questionnaire for the proposed position (LINK TO QUESTIONNAIRE) – For Career Service Employees a DPF 44S may be completed in lieu of the Questionnaire, an updated organizational chart for the department, and supporting justification for the proposed position, including funding source.

Hiring manager submits the above as a Word document to Human Resources via email to HUMANRESOURCES@wpunj.edu with the subject line: “Classification/Reclassification Request”

Human Resources will acknowledge receipt, and provide a date for completion, if the submission is incomplete more information will be requested at this time.

Human Resources will evaluate the Position Description Questionnaire or DPF 44S and complete a Draft Position Description. This and supporting documentation if used will determine if a reclassification is warranted for the position.

Following review and agreement on the Position Description, Human Resources will provide a finalized Position Description to the hiring manager, including instructions regarding next steps, if applicable.

Should there be disagreement with Human Resources’ determination, the hiring manager may appeal in writing to the Vice President for Human Resources whose decision shall be final.
