VALE Executive Committee
Minutes of the July 14, 2004 Meeting
Present: J. Avrin, A. Ciliberti, J. Crocker, G. Fallon, M. Gaunt, J. Getaz, J. Marcum, L. Ostar, D. Pinto, A. Scrimgeour, R. Sweeney
- Judy Cohn convened the meeting and extended a welcome to new committee member James Marcum. Cohn also expressed the committee's thanks and gratitude to Bro. Paul Chervenie for his years of service to VALE. The Executive Committee will send Bro. Paul a thank you. A resolution to be presented to Bro. Paul at the next Council meeting on September 24th was read for the
record.
- Prior to approval of the minutes from the June 9, 2004 meeting, Joan Getaz noted meeting dates for FY05 Executive Committee meetings need to be confirmed. Cohn will send a final, confirmed
list.
- Cohn noted that Andrew Scrimgeour's two year term as Vice Chair is expiring. The bylaws allow an additional term. Joan Getaz nominated and James Marcum seconded Scrimgeour's election as Vice Chair. The two year position will co-terminate with his seat on the Executive
Committee.
- Anne Ciliberti presented the budget report. A year end balance of $85,945 includes $67,517 of early FY05
payments.
- Judy Cohn reported that pending resolution of challenges to the state budget, funding for the $6 million Knowledge Initiative (KI) to provide science, technology, medical and business databases has been approved. A motion was made to let the record reflect appreciation for the efforts by Judy Cohn, Richard Sweeney, Marianne Gaunt and Anne Ciliberti. Cohn, Ciliberti and Sweeney will be representing VALE at a July 21st KI planning meeting. Cohn will report to the VALE Executive Committee following the meeting. A list of the proposed databases was distributed. Discussion noted the importance of selecting databases that address the needs of small business as well as providing some benefit for academic
libraries.
- Committee Reports:
- Assessment Committee - Cohn will ask Bro. Paul if he will continue to serve as head of the committee. Ciliberti agreed to continue as the liaison to the Executive
Committee.
- Bibliographic Control and Metadata Committee - David Pinto had sent a Report of Accomplishments to Cohn earlier in the
month. A copy will be distributed to the Executive Committee. Pinto met with new chair, Juan Almodovar of New Jersey City
University, who is beginning a two-year term. He thanked Amy Job for her service to the committee. The technical service
survey the committee conducted had a 67% return rate. The committee web page is being updated.
- Gaunt suggested all committee chairs should be asked to prepare an annual update summarizing their group's activities.
J. Cohn will contact all committee chairs about submitting a brief update on their committee’s activities.
- Electronic Resources Committee - Cohn reported on the committee's June 16th meeting. There
was discussion of a new business database evaluation to be conducted next year. VALE has entered into a licensing
agreement with the WALDO consortium and a representative will be meeting with Judy Avrin, Anne Ciliberti and other
interested committee members at William Paterson on July 22nd. Luis Rodriguez posted a reminder to the
VALE listserv about the database recommendation form. Their next meeting is August 10th.
- Publicity Committee - Joan Getaz advised that she and Vibiana Bowman have scheduled a VALE Users' Conference
meeting at Camden County College on July 26th. They have requested that any group interested in doing a
breakout session should submit a proposal. Greg Fallon and Getaz had discussed the possibility of the Council conducting a
breakout session. Changes and updates to the VALE brochure are complete and Getaz will get estimates of printing costs.
A pdf version will also be made available on the VALE website.
- Reference Services Committee - Jane Crocker reported the committee met on June 8th and
announced that there is a great enough level of participation to establish an academic queue. In September, traffic and
data patterns will be evaluated and the goal will be to have two reference librarians on at a time. Tutor.com will provide
backup after hours. The committee will have something at the Users' Conference to evaluate progress.
- Resource Sharing Committee - It was announced that the ultimate responsibility for any lost book borrowed by a
graduate student is with the borrowing student's library.
- Training Committee - Judy Cohn announced that Lynn Randall of Caldwell College is the new chair. She is contacting
prior committee members to determine interest in continuing. Training on existing databases as well as new databases is
important.
- Last Copy/Repository - Their white paper will be out in the fall.
- Anne Ciliberti reported on continued efforts with NJEdge to provide digital video licensing. Ann Hoang and Luis Rodriguez are participating on the NJEdge committee that will be negotiating discounts for educational film collections that would reside on NJEdge's server. They could stream or be downloaded. There will be a Films for Humanities presentation at the NJEdge Fall Conference as well as the VALE Users'
Conference.
- A VALE presentation at the NJEdge Conference was discussed and Joan Getaz will contact Mary Mallery about the conference plans and
format.
- The next Executive Committee is scheduled for August 11th.
