Media Services can order rental films and videotapes from many sources. The local sources usually require less "lead time", but the title you need may not be available locally, so please let us know as far ahead as possible. You will need to provide us with a Requisition form with your departmental account on it to rent titles. Preview charges will be absorbed by the Library. Faculty may arrange for the rental or preview of titles through Media Services by contacting Denise Hagel (x2307) or hageld@wpunj.edu.

Media Services makes available equipment loans for use either in class or for other academic and campus purposes. Please note the following qualifications:

  • All loan requests should be made at least 24 hours in advance of scheduled need.
  • Some types of equipment entail pickup and return by the borrower.
  • Some types of equipment are not available for individual loan; they are part of equipment packages for classroom setups.
  • Some categories of borrower (primarily those external to the campus) are subject to rental fees. Please note that even when subject to rental fees, equipment availability may vary depending on priority use by academic departments and schools.

Media Services offers delivery and pickup of media equipment for classes and for faculty/staff scheduled group meetings sponsored by the University in the following locations:

It is the responsibility of the requester to set up and operate the equipment. If needed, training may be arranged in advance with a Media Technician and/or Scheduling Coordinator.

Reservations | top of page |

Equipment and software may be scheduled with Charlene Lovegrove, Scheduling Coordinator by memo, e-mail lovegrovec@wpunj.edu, in person or by telephone (973-720-2984) during the hours the department is open. If 5 or more events are scheduled simultaneously, requestors may be asked to submit their booking requests in writing. Because of heavy demand, requesters may not schedule more than half their regularly scheduled class in the Library auditorium. Exceptions must be approved by the Director and will be granted only in unusual circumstances. This policy is intended not to discourage the use of instructional technology but to ensure that the facilities are accessible to all. Media Services will make every effort to find alternative arrangements for requestors whose need for media equipment exceeds the classroom booking limit.
The requestor should be able to supply:

Title of software needed
Type of equipment needed
Any accessories needed (e.g., extension cord, screen, cart)
Name of requestor
Department and phone number
Delivery date, starting and ending time and place (building and room number)

Requests for equipment and software delivery should be made 3 days in advance of date needed. Equipment is limited and is booked in the order in which requests are received. Software may not be immediately available and may need to be recalled.

Confirmations | top of page |

Confirmations cannot be given at the time of the request if the request occurs outside of business hours: Monday - Friday 8am-4pm. It is important that a phone number be left where the requestor can be reached in case there is a problem. Written confirmations will be sent through the campus mail 2 weeks prior to scheduled date. Confirmations should be checked for accuracywhen they are received.

Cancellations | top of page |

Because much of the service relies upon the availability of student staff, circumstances beyond our control may require cancellation of reservations. When this happens, the requestor will be notified at the earliest opportunity. If the requestor needs to cancel the reservation, please call Charlene Lovegrove at 973-720-2984 so that others may use the equipment.

Classroom setups and attendance | top of page |

Equipment and software is normally delivered just prior to the scheduled time, and retrieved from the room at the designated pickup time. To minimize disruption of classes, deliveries and pickups must be made during the 15-minute class breaks. For this reason, Media Services asks that the equipment be unplugged and placed near the doorway inside the room to expedite pickup.

When delivered to the classroom, a faculty member must sign for the equipment and software before it is left. Please make sure the equipment and software title is correct before signing the form. If the faculty member does not arrive within 24 minutes after the class period begins, the equipment will be removed. The equipment will be the faculty member's responsibility until it is picked up by a Media Services staff member. Equipment must not be left unattended.

Individual Loans: Faculty & Staff | top of page |

Some media equipment may also be borrowed by individual faculty and staff for University related purposes for periods including nights and weekends when available. The following added conditions should be noted:

  • The individual borrower normally picks up and returns his or her own equipment, and assumes financial liability for its return in good working order.
  • In the case of portable video equipment (e.g. camcorders and accessories) or laptop computers, the borrower should be cautioned that he or she assumes financial liability whether or not the equipment is used by someone else (e.g., a student).
  • If a designee is sent to pick up the reserved equipment, he or she must present a written request and a William Paterson ID card with a valid Library ID barcode affixed from the faculty member.
  • Video equipment and laptops, due to their heavy usage, must be picked up no earlier than the day for which it is reserved.

Individual Loans: Students | top of page |

Students holding a valid William Paterson ID with a Library barcode affixed may borrow equipment for academic uses except videocassette players, video cameras, laptops, and digital cameras (which are available only under special conditions; please contact the Supervisor or Scheduling Coordinator for details). Student borrowers also are required to pick up and return their equipment. They are financially liable for the good condition of borrowed equipment. In addition, students are charged overdue fines for the late return of all equipment.

Professionals are available to assist department in analyzing their media requirements and can recommend options for supporting them, whether these needs are met through Media Services or departmental funds. Specifications and guidance during the process of selecting and acquiring new equipment can usually be provided.

The repair shop of Media Services has as its primary goal the maintenance of media equipment owned by the department itself. If other departments on campus require equipment repair, they should discuss their needs with the Supervisor of Media Services. Media Services will attempt to accommodate other units whether it is in the form of referral to outside vendors or repairing the equipment themselves.

Categories of equipment that are NOT SERVICED are the following:

  • Equipment normally serviced by other on-campus or off-campus personnel.
  • Equipment that is not the property of the University
  • Equipment not used for typical audiovisual media applications--e.g., scientific instruments, personal computers, etc.
